Delegate Terms & Conditions

1. Introduction

1.1 The Congress is organized and managed by The Association of Dental Implantology Limited, a company registered in England and Wales with registration number 2260991 and registered office at Abbey House, Hickleys Court, South Street, Farnham, Surrey, England, GU9 7QQ, and a charity registered in England and Wales and having charity number 800238.

1.2 References to “us” means The Association of Dental Implantology Limited and references to “we” and “our” shall be construed accordingly. References to “you” mean the person or entity completing a booking request and, where appropriate, each delegate on whose behalf the booking is being made.

1.3 All applications to book for the Congress are made subject to these Terms and Conditions (which shall apply to the exclusion of any terms sought to be imposed by you).

2. Bookings and payment

2.1 Booking for the Congress is only available to dental professionals (dentists, technicians, hygienists, therapists, nurses, practice managers) who are registered with the GDC or an equivalent overseas organization and ADI student members, and is subject to you making full payment and to availability of places.

2.2 Payments will be accepted by debit/credit card via World Pay.

2.3 Once payment has been received we will send an email confirmation.

2.4 In order to qualify for the ‘early bird’ rates, booking and payment must be received by 30 November 2018. ‘Advance’ rates are available from 1 December 2018 to 28 February 2019 inclusive. From 1 March 2019 the ‘late’ rates will apply.

2.5 Only individuals who are ADI members at the time of booking are eligible for member rates. For further information on ADI membership please visit the ADI website.

2.6 A unique email address must be provided for each delegate at the point of booking.

3. Access requirements

You should advise of any special access requirements at the time of booking.

4. Changes and cancellation

4.1 Written substitutions and/or name changes can be made until 18 April 2019. Please email us using our contact form or write to ADI, 20 Hill Rise, Richmond TW10 6UA.

4.2 Cancellations must be received in writing. Notifications of cancellation received on or before 2 April 2019 will be refunded in full, less an administrative charge of £30. After that date, no refund will be provided.

4.3 It may be necessary for reasons beyond our reasonable control to alter the advertised content, timing and/or location of the Congress or the advertised speakers. We reserve the right to make these changes at any time and we will notify you of such changes.

4.4 If we alter the date and/or location of the Congress, and if you are no longer able to attend, we will offer you a credit for a future event up to the value of the sums paid by you to ADI in respect of the Congress.

4.5 In the unlikely event of the Congress being cancelled, a full refund will be made to you. Our liability will be limited to the amount paid by you and in particular we shall not be liable to the delegate or you for travel, accommodation and other costs and expenses or losses incurred by the delegate or you (including wasted costs and expenses).

5. Speakers and Exhibitors

5.1 Views expressed by speakers and Exhibitors are their own. We cannot accept liability for advice given or views expressed by any speaker or Exhibitor at the Congress or materials provided by any speaker or Exhibitor or other party.

6. Photography, filming and mobile phones

6.1 For ADI promotional purposes, there will be an official Congress photographer, and there may be an official Congress film crew. Delegates and Exhibitors acknowledge that ADI may use the resulting photographs or recorded material on the ADI website, in its marketing and promotional materials for future Congresses, and also during future Congresses.

6.2 Delegates must not make an audio recording or a video recording of any part of the Congress including the Exhibition.

6.3 Delegates must not take photographs in the auditorium or other meeting rooms during Congress sessions, or in the Exhibition.

6.4 Delegates should note that exhibiting companies have been asked not to include delegates in any photographs, audio recordings or video recordings in their corporate forums or on their exhibition stands, without first having obtained permission from the delegates concerned.

6.5 Mobile phones must be switched off whilst in the main auditorium, to ensure there is no disruption to speakers and delegates.

7. Data Protection

7.1 If you are submitting booking details for any delegate other than  yourself, you will ensure that, and you warrant to us that, you are authorised to do so and that you have any appropriate consents in place to enable you to transfer personal data about any such delegate to us so that we may use it for the purposes for which you provide it to us.  You warrant also that you are authorised to respond to each opt-in/opt-out question on behalf of each such delegate.

7.2 Members will receive information from us about future events as part of their membership. We also like to send present and past delegates who are not members information regarding membership and future events that we think might be of interest to them. Please indicate whether or not each delegate is willing to receive such information by ticking each appropriate box in the booking form.

7.3 There will be Exhibitors at the event whom we have selected because we consider their products or services may be of interest and benefit to delegates. Please indicate whether or not each delegate is willing to receive further information from such Exhibitors in the post by ticking the appropriate box in the booking form

7.4 When registering on site, each delegate will be issued with a name badge which is required to be worn for entry into the Congress.  Each name badge includes a unique barcode. Corporate forum organizers may have barcode readers in their corporate forum meeting rooms, and Exhibitors may have barcode readers on their stands.  Please indicate, by ticking the appropriate box in the booking form, whether or not each delegate is willing for their postal address and email address to be provided to corporate forum organizers and Exhibitors who have scanned their name badge, so that these corporate forum organizers and Exhibitors can contact the delegate after the event. (Note that if this information is withheld it may not be possible for the corporate forum organizers to provide the delegate with CPD for attending the corporate forums.)

7.5 By completing the booking form, you confirm that we may send information to each delegate in respect of the event for which the booking is being made.

7.6 We will only use the information you provide for the purposes to which you have consented and related purposes including:

  • Updating and enhancing our records;
  • Analysis to help us manage our business;
  • Legal and regulatory compliance.

Our business may be audited or checked by our accountants or the Charity Commission or other regulatory organizations. All such third parties are required to maintain confidentiality in relation to your personal data.

7.7 You have a right of access under Data Protection laws to the personal data we hold about you. We seek to keep that personal data correct and up to date and for no longer than reasonably necessary. You should let us know if you believe the information we hold about you needs to corrected or updated.
